Document Collection:
Collect all documents based on the above-mentioned “Required Documents,” scan them, and store them on Google Drive.
Ensure each student’s folder is named with the student’s last name + first name in capital letters (e.g., if the student’s name is Siyoung PARK, the folder name should be “PARK SIYOUNG”).
Make sure each file in the folders is marked as “docs no. docs explanation_last name_first name” as shown below. (Please maintain the document numbers and order as per the instructions.) For example, if the student’s name is Siyoung PARK, mark each scanned file as below:
1. application_park_siyoung
2. passport_park_siyoung
3. topik_park_siyoung (or 3. ielts_park_siyoung, etc.)
4. graduation_park_siyoung
5. transcript_park_siyoung
6. family_park_siyoung (or 3. birth_park_siyoung)
7. father(mother)_passport(ID)_park_siyoung (or 7. father(mother)_death_park_siyoung)
8. father(mother)_employment_park_siyoung
9. father(mother)_income_park_siyoung
10. bank_park_siyoung
11. photo_park_siyoung
12. receipt_park_siyoung
13. recommendation_park_siyoung
Application Fee Payment:
Pay the application fee (amount varies for each university and can be found on each university’s details page under “Institutions We Represent”) and then submit the following documents via email (or via Google Drive Shared Folders):
- Application Excel file (University Format)
- Scanned copies of the above-required documents (all files must be in PDF format)
Document Courier to Institution:
Send all the above required original documents (No.1~13 / same as the scanned copies) via an express courier service (e.g., DHL, FedEx, etc.). Both the scanned copies (including the application Excel file) and the original documents need to be submitted at least 1 week before the deadline (of each university) for the official application process.
Offer Interview:
Once the application fee payment, scanned files, and original document submissions are confirmed, the university will schedule an online interview. Conduct a pre-interview for all applicants before the actual interview for better results, and gather all applicants in your office for the actual interview to avoid any internet connection or lateness issues. (At least business casual clothing is recommended for all applicants based on Korean culture.)
Offer Letter Release:
The interview results will be notified according to the university's schedule, and the university will send the acceptance (offer) letter and the tuition and fees invoice for each successful applicant.
Fee Payment:
Ensure that the invoice is paid before the deadline marked on the invoice.
Certificate of Admission (CoA):
Once the invoice payment is confirmed, the institution will send the Certificate of Admission (CoA) and other required documents for the visa application via email. Apply for the visa at the Korean Embassy accordingly.
In case the visa application is processed inside Korea (for some universities), the university will apply for the visa to the local immigration office accordingly.
Visa Application:
Once the visa is approved (either by the Korean Embassy or Immigration Office), confirm the final list with the university (after internal discussions), and then the flight schedule and arrival date arrangements should be discussed. (Most universities designate the arrival dates for all newcomers, and the detailed information will be shared.)
In case the visa is rejected, a refund request form will be provided for each university. Once the filled-out form and required documents are submitted, the university will refund the tuition and fees accordingly. (Normally, it takes around 1–2 months for the refund process, and banking charges need to be borne by the applicant.)
Due to exchange rate fluctuations, the actual amount the applicant receives could be less than the amount they paid.
